The Retail Specialist Program Coordinator plays a critical role in supporting the Retail Specialist Division by driving operational excellence, strengthening program infrastructure, and enabling high-impact field execution across multiple markets.
This position combines data, operations, creative development, and field support with a highly strategic component: dedicating significant focus to the day-to-day operations and support of the Multicultural Retail Specialist program.
The ideal candidate is proactive, highly organized, commercially curious, and energized by working in a fast-paced environment where precision and adaptability are equally important.
Key Responsibilities
Retail Specialist Division Coordination (50%)
Program & Operational Enablement
· Act as a central operational and analytical support for the Retail Specialist Division.
· Build tools, templates, and systems that enhance execution for Retail Specialists.
· Support delivery of clear expectations, performance visibility, and consistent execution across programs.
Data, Systems & Reporting
· Manage, optimize, and maintain Smartsheet workflows tracking activity, deliverables, KPIs, and performance.
· Build and maintain Excel-based databases supporting reporting, tracking, trend analysis, and forecast readiness.
· Manage dashboards providing real-time insight into program performance and field execution.
Creative Design & Storytelling
· Create high-quality decks, presentations, one-sheets, training assets, and visual materials (PowerPoint, Canva, Keynote).
· Translate data and insights into compelling narratives that align leadership, program managers, and field teams.
Program Optimization & Continuous Improvement
· Identify operational inefficiencies and proactively recommend process, tool, and workflow improvements.
· Partner with Program Managers to evolve program structure and scalability.
Multicultural Retail Specialist Program Operations (Approximately 50% of Role)
· The Program Coordinator serves as the operational lead supporting the Multicultural Retail Specialist Manager and is responsible for ensuring the program runs with structure, visibility across all markets.
· This individual plays a central role in managing reporting integrity, expense oversight, workflow development, and field accountability.
Operations & Execution
· Collaborate with the Multicultural Retail Specialist Manager
· Assist with scheduling, resource allocation, and prioritization of multicultural field activities.
· Track ongoing program timelines and milestones, ensuring all multicultural initiatives are on track.
Communication & Coordination
· Serve as a liaison between the Multicultural Retail Specialist Manager, Retail Specialists, and cross-functional partners.
· Draft and distribute internal communications, status updates, and weekly cadence reports for multicultural retail programs.
Field Support & Readiness
· Partner with field teams to ensure multicultural retail assets, materials, and tools are delivered and deployed on time.
· Support troubleshooting and issue escalation for multicultural retail execution challenges.
· Compile field feedback and insights to inform planning cycles and strategy refinement.
Reporting & Insights for Multicultural Programs
· Build and maintain dashboards, reports, and KPI trackers specifically for multicultural retail performance.
· Prepare presentation materials and insights summaries for leadership reviews and strategic planning.
Strategic Support
· Assist in crafting strategic plans and execution playbooks tailored to multicultural retail audiences.
· Support market segmentation analysis, cultural trend research, and competitive insights as needed.
Core Responsibilities
Reporting & Performance Visibility
· Own and maintain reporting frameworks for the Multicultural Retail Specialist program.
· Ensure timely and accurate submission of field reports, KPIs, and deliverables.
· Audit reports for completeness and consistency before leadership review.
· Identify reporting gaps and implement process improvements to increase compliance.
Expense Management & Financial Oversight
· Review and approve field expenses in alignment with budget guidelines and compliance policies.
· Track expense trends and flag inconsistencies or risks proactively
Workflow & Process Development
· Design and refine operational workflows to improve efficiency across markets.
· Build standardized processes for reporting, expense submission, call tracking, and deliverables.
· Develop tracking systems that create accountability and transparency.
· Continuously evaluate processes and recommend improvements.
· Ensure all workflows are documented and scalable.
Status & Field Activity Tracking
· Monitor call activity and visit cadence across markets.
· Track call status, account coverage, and execution consistency.
· Ensure follow-ups are documented and implemented.
Operational Support to the Manager
· Support the Multicultural Retail Specialist Manager.
· Anticipate needs and proactively prepare materials for meetings and reviews.
· Support territory adjustments, staffing transitions, and field communication.
· Assist in prioritization when competing deadlines arise
Qualifications
· Bachelor’s degree or equivalent professional experience.
· 3+ years of experience in program coordination, business operations, commercial support, field marketing, or similar environments.
· Exceptional organizational and project management skills.
· Advanced proficiency in Excel and strong presentation-building capabilities.
· Proven ability to manage multiple priorities without sacrificing accuracy.
· Strong written and verbal communication skills.
· Self-starter with a proactive, ownership-driven mindset.
Preferred Experience
· Experience within the spirits, beverage alcohol, CPG, or related industry strongly preferred.
· Background supporting field teams, distributors, or commercial organizations strongly preferred.
· Familiarity with Smartsheet or comparable workflow platforms.
· Experience supporting multicultural initiatives is a plus.
